This Sub-Committee will be responsible for working with ICMA on identifying the events for the Saturday Evening Reception, Sunday Evening Welcoming Reception; and the Monday and Tuesday Evening Events (see ICMA Guidelines). This Sub-Committee will be responsible for soliciting potential events from MMMA members, researching the events, and presenting them to the Boston/New England Region 2013 Host Committee for final selection as to which events will be recommended to ICMA and the Conference Planning Committee.

This Sub-Committee will be responsible for planning the Monday morning. According to ICMA, it is up to the Host Committee whether this is a “prayer” breakfast or “inspirational” Breakfast. This Sub-Committee will be responsible for recommending the speaker, music and any logistics to the Boston/New England 2013 Host Committee for final approval and recommendation to ICMA.

This Sub-Committee will be responsible for identifying 10 to 15 potential field demonstrations for the Boston/New England 2013 Host Committee to narrow to 5 to 7 field demonstrations. This Sub-Committee will then be responsible for coordinating the field demonstrations, arranging for transportation, meals (if appropriate), and then coordinating with ICMA during the conference.

This Committee will be responsible for developing athletic events and for making a recommendation to the Boston?New England 2013 Host Committee for athletic events held in conjunction with the conference, including a golf tournament, tennis tournament and the 5K Fun Run/Walk. This Sub-Committee is also responsible for refreshments, t-shirts, awards and event management, including hiring any professionals to assist as needed.

This Sub-Committee will be responsible for developing sightseeing and social tours for all four days of the conference and making a recommendation to the Boston/New England Region 2013 Host Committee. This Sub-Committee will also review whether there should be any pre- or post-conference tours that are offered as part of the conference experience.

This Sub-Committee will be responsible for developing and making a recommendation to the Boston/New England Region 2013 Host Committee on the partners programs for Monday and Tuesday.

This Sub-Committee is responsible for developing an Assistants Exchange Program and working with ICMA on any events. Recommendations from this Sub-Committee will be presented to the Boston/New England 2013 Host Committee for approval.

This Sub-Committee will be responsible for recruiting, training and coordinating volunteers that will be required for the conference (including airport, hotels and information desk at the conference) and coordinating VIP Transportation and any other transportation that will be made available to ICMA conference attendees (i.e. working with the MBTA on Charlie Cards, etc.). This Sub-Committee is the “go-to” Sub-Committee for other Sub-Committees for transportation, food, promotional attire, etc. This Sub-Committee will also work closely with the Host Committee in support of the Conference Planning Committee meeting in November 2012 in Boston. Any expenses this Sub-Committee will incur will require approval of the Boston/New England Region 2013 Host Committee.
Phoenix 2012 Booth/Promotional Activities/”On Your Own Guide”– Fred Turkington (Town Administrator, Wayland), chair; Diane Norris (Assistant Town Manager, Danvers), Charlie Cristello (Town Manager, Middleborough), Selina Shaw (Town Administrator, Boxborough), vice-chairs

This Sub-Committee will have two areas of responsibility – the Phoenix 2012 conference future host site booth and all other pre-conference promotional activities and the creation of “On Your Own Guides” for attendees and guests.
It will be responsible for making recommendations to the Boston/New England Region 2013 Host Committee on what will be available at the Phoenix 2012 conference booth, recruiting and scheduling volunteers for staffing the booth, and working with ICMA to coordinate the booth. It also will be responsible for developing the promotional video that will be used at the Phoenix 2012 conference and will need to coordinate that effort with a video production company, the Boston Convention and Visitors Bureau or a local public access cable television company. This includes coordinating with dignitaries and/or other notables to appear in the video if a custom video is used. This group will also be responsible for other promotional activities including assisting the Host Committee in support of the ICMA Conference Planning Committee meeting in Boston in November 2012.
In addition, this Sub-Committee will be responsible for developing an “On-Your-Own” Guide for Boston. This will include restaurant reviews, "hidden gems" local attractions, and a plain English description and map of how to get around on the T. Also, this Sub-Committee will be responsible for any gifts or goodies to be included in the conference bag.

This Sub-Committee will be responsible for coordinating with a professional fundraiser to raise funds to assist in offsetting the cost of the Boston/New England Region 2013 Host Committee and potentially subsidizing speaker upgrades.
